We’re looking for a superstar Office Manager to support our San Francisco office and ensure smooth day-to-day operations. This role requires physical presence in the office and will play a key role in ensuring a productive, organized, and welcoming workplace environment.

Our product
We are currently focused on helping salmon farmers better understand their fish population and make environmentally sound decisions. Through custom underwater cameras, computer vision, and machine learning we are able to quantify fish weights, detect the health status, and generate optimal feeding plans in real time. Our product operates at three levels: on-site hardware for image capture, cloud pipelines for data processing, and a user-facing web application. As a result, there are hundreds of moving pieces and no shortage of fascinating challenges across all levels of the stack.

The Role
As our Office Manager, you’ll play a key role in ensuring the smooth operation of our workplace and supporting the broader team’s effectiveness. You’ll oversee facilities management, office administration, and cross-functional operational initiatives. This includes managing vendors and office resources, coordinating travel and team events, streamlining processes, and leading projects that enhance productivity and the overall employee experience.

Responsibilities

  • Reception & Workplace Experience -oversee front-of-house operations and ensure every visitor and employee interaction reflects Aquabyte’s professionalism and culture. Maintain a welcoming, efficient, and high-functioning workplace environment.
  • Facilities & Operations Management - own the day-to-day management of the San Francisco office, including facilities upkeep, safety, and vendor coordination. Drive operational excellence to ensure a productive and well-supported workspace.
  • Workplace Presentation & Readiness - ensure the office remains tidy, organized, and fully stocked throughout the day. Oversee daily walkthroughs to maintain a clean, professional, and inviting environment, with all shared spaces, supplies, and amenities replenished and in order.
  • Shipping, Receiving & Logistics - manage office logistics including incoming and outgoing shipments, courier partnerships, and vendor deliveries. Develop efficient systems to support business and operational needs.
  • Workplace Resources & Services - oversee kitchen and supply inventory, coordinate meal programs, and manage vendor relationships to maintain a well-stocked and comfortable office environment.
  • Employee Onboarding & Support - partner with HR and IT to deliver seamless onboarding experiences for new hires. Serve as the go-to contact for employee support, ensuring workplace tools and processes enable success.
  • Culture & Engagement - collaborate with the People team to design and host events that strengthen culture, connection, and engagement across teams. Act as a cultural ambassador and a go to central person for the SF office.
  • Vendor & Landlord Relations - manage relationships with building management, vendors, and service providers. Negotiate contracts and resolve issues promptly to maintain operational standards.
  • Office & Safety Projects - manage office-related initiatives including space planning, policy updates, and emergency preparedness. Ensure compliance with safety and security standards.
  • Project Management & Process Improvement - manage cross-functional operational projects from planning to execution. Identify opportunities for process improvement, implement best practices, and drive efficiency across office operations.
